Privacy Policy
Effective Date: September 7, 2026
Privacy summary
My School is designed as an offline-first app. Core school records are stored locally on the Android device. The Developer does not operate a cloud database for those records and does not routinely receive or access the school's local database.
1. Introduction
My School ("the App") is an offline-first school and academy management application for Android. It helps institutions manage students, admissions, attendance, fees, examinations, results, timetables, staff, and payroll.
This Privacy Policy explains how information is handled when you use the App. By using My School, you acknowledge the practices described in this policy.
2. Information Stored by the App
The App stores academic, administrative, and financial records entered or generated by the school, including:
- Student names, admission numbers, class or grade assignments, roll numbers, and enrollment dates.
- Student contact information, such as parent or guardian names, phone numbers, and addresses, where the school chooses to record it.
- Date of birth and other identifying details the school enters for its own records.
- Daily attendance records, absences, and attendance summaries by class.
- Fee structures, fee invoices, payments, outstanding balances, discounts, and payment histories.
- Examination, test, and result records, including marks, grades, and report information.
- Subject, class, and timetable configuration.
- Staff and teacher names, roles, subjects taught, contact details, and salary or payroll records.
- Inventory, assets, and other school resource records where those features are used.
- App settings such as theme, accent color, currency, school information, and session or academic year.
3. Information About Children
The App is commonly used to store information about students who may be minors, including children. Because of this, the school is solely responsible for the lawfulness of the data it records.
The school is responsible for obtaining any consent, notice, or authorization required from students, parents, or guardians before entering information into the App, and for complying with all child-protection, education, privacy, and data-protection laws that apply in the school's jurisdiction.
The Developer does not collect, request, review, or verify any student, parent, or guardian information, and does not have access to the school's local database.
Children's data
My School is not a child-directed online service and does not transmit student information to the Developer. Do not use the App to send children's personal information to any party. The school remains the data controller and custodian of all student records.
4. Optional Personal Information
Fields for parent or guardian names, phone numbers, addresses, dates of birth, and similar details are optional where provided. A student record can generally be created and used without entering them.
If the school chooses to enter this information, it is stored locally as part of the relevant student, admission, or fee record. The Developer does not remotely collect it.
5. No Cloud Database
Core operational information is stored in a local database on the school's Android device. The Developer does not operate a cloud database or online account system for the school data created in the normal use of the App.
The Developer does not routinely receive, monitor, or have remote access to the school's local database.
6. How Local Data Is Used
Local data is processed by the App to provide functions such as:
- Student admission, profile management, and class or section assignment.
- Daily attendance marking, reporting, and absence follow-up.
- Fee structure setup, invoicing, payment recording, and balance tracking.
- Examination entry, result calculation, grading, and report generation.
- Timetable and subject configuration.
- Staff records, salary calculation, and payroll processing.
- Receipt, report, and statement printing.
- JSON backup/restore and supported CSV import/export.
The Developer does not intentionally use locally stored school records for behavioral advertising, profiling, or marketing.
7. Sensitive and Special-Category Information
The App is not designed to maintain clinical, medical, diagnostic, or therapeutic records about students, and it should not be used to store such information.
Where a school records information about a student's health, disability, or special educational needs in order to provide appropriate support, the school is responsible for handling that information lawfully, limiting access to it, and applying the strictest applicable safeguards.
8. Payment Information
The App may record a payment method label such as Cash, Card, Bank Transfer, or Online together with transaction amounts for record-keeping.
My School does not itself process card or online payments and is not a bank, payment gateway, or financial institution. The App is not intended to collect card numbers, CVV/security codes, card PINs, banking passwords, PINs, or similar payment authentication credentials.
9. Printing and Local Network Communication
The App may support printing through compatible local network, Bluetooth, or other thermal printers. When the user initiates printing, relevant receipt, invoice, attendance, or report data is transmitted from the Android device to the printer configured by the user.
The Developer does not receive or store the information sent to the school's printer. The school is responsible for the security of its local network and printers.
10. Backup, Restore, Import and Export
The App may create JSON backups and supported CSV imports/exports at the user's direction. These files are controlled by the school and may contain student, staff, fee, and result information, including parent or guardian contact details if the school has entered them.
The Developer does not automatically receive or upload these files. If the school stores or shares them using a third-party storage provider, messaging service, file manager, computer, or other service, that third party's own privacy and security practices apply.
11. Advertising and Analytics
The App is not designed to use the local school database for advertising, profiling, or marketing. If a future version introduces third-party analytics, advertising, cloud services, or other data collection, this policy and applicable Google Play disclosures will be updated as appropriate.
12. Data Retention and Deletion
Because the primary database is stored locally, information generally remains on the device until the user deletes records, clears the App's data, uninstalls the App, resets or replaces the device, or otherwise overwrites the database.
Exported JSON or CSV files may continue to exist wherever the school has chosen to store them. The school is responsible for managing, securing, and deleting those copies, and for retaining student and staff records for the period its own legal and regulatory obligations require.
13. Security
The App is designed to keep its core operational data on the school's device. However, no electronic storage system, device, or network can be guaranteed to be completely secure.
The school is responsible for protecting its device, backups, exported files, printers, and local network. Appropriate measures may include device screen locking, operating-system updates, role-based limiting of staff access to the device, secure storage practices, and regular independent backups.
14. Children's Privacy
My School is a business and education-management application intended for schools, academies, and their authorized staff. It is not designed as a service directed to children, and the Developer does not knowingly collect personal information from children through any Developer-operated service.
Because the App may store information about minors, the school is responsible for obtaining the appropriate consent and for limiting access to the App and to any exported files.
15. Changes to This Privacy Policy
This Privacy Policy may be updated from time to time to reflect changes in the App, its features, applicable requirements, or data-handling practices. The effective date shown at the top of this policy indicates the current version.
Terms of Use
Effective Date: September 7, 2026
Important
My School is a school-management tool. The school remains responsible for the accuracy of its academic and financial records, for complying with education, child-protection, privacy, tax, and accounting requirements, and for obtaining the consent required to record information about students and families.
1. Acceptance of Terms
By downloading, installing, or using My School, you agree to these Terms of Use. If you do not agree, do not use the App.
2. Purpose of the App
My School is provided as a school and academy management tool for student admission and records, attendance, fees and payments, examinations and results, timetables, staff, and payroll. It is a record-keeping and administration aid and is not professional accounting, financial, legal, tax, or educational advice.
3. User Responsibility
The user is responsible for the accuracy, legality, and appropriateness of information entered into the App, including:
- Student details, admission numbers, classes, and enrollment dates.
- Parent or guardian contact details.
- Attendance records and summaries.
- Fee structures, invoices, payments, discounts, and balances.
- Examination entries, marks, grades, and results.
- Timetable and subject configuration.
- Staff details, roles, and salary or payroll figures.
- Backups, exports, imports, and restored data.
The user is also responsible for complying with education, child-protection, privacy, data-protection, tax, accounting, and record-keeping laws that apply in the user's jurisdiction.
4. Student Data and Parental Consent
- The school is solely responsible for the lawfulness of the student and family information it records.
- The school is responsible for obtaining the consent, notice, or authorization required from students, parents, or guardians, and for providing any information required to those individuals.
- The school must limit access to the App and to exported files to authorized staff only.
- The school must not enter unnecessary sensitive personal information into the App.
- The Developer does not collect, review, verify, or have access to student, parent, or guardian information.
5. No Educational, Medical, or Legal Advice
The App does not provide educational diagnosis, medical advice, treatment recommendations, prescribing services, or professional legal advice. Grade calculations, attendance summaries, and result figures are produced from information the school enters.
The school remains responsible for applying its own assessment policies, grading rules, and academic decisions, and for independently verifying information before acting on it.
6. Fees, Results and Financial Information
Fee totals, balances, discounts, tax, salary and payroll figures, and other calculations are provided for convenience. They are not professional accounting, tax, or financial advice.
The school should verify financial information, confirm its own fee and grading policies, and obtain professional advice where appropriate. Where local law requires official fee receipts, grading scales, or certified statements, the App's output is not a substitute for those requirements.
7. Backup Responsibility
Users are strongly encouraged to create regular backups and to keep independent copies of important school records. The App's local-first design means the Developer generally does not maintain a cloud copy that can be recovered on the school's behalf.
A school using the App for attendance, fees, results, or payroll should maintain a verified backup routine, as the App is not intended to be the sole copy of official records.
8. Printing and Third-Party Devices
Printer compatibility, local network availability, and printing results can vary between devices and printer models. The Developer does not guarantee compatibility with every printer, network configuration, Android device, or third-party service.
9. No Warranty
To the maximum extent permitted by applicable law, My School is provided on an "as is" and "as available" basis, without warranties of any kind, whether express, implied, or statutory.
The Developer does not guarantee that:
- The App will always be available, uninterrupted, or error-free.
- All information or calculations will always be accurate.
- Data will never be lost, corrupted, or deleted.
- Every printer or device will be compatible.
- The App will satisfy every education, legal, child-protection, tax, accounting, or regulatory requirement.
- The App will be suitable for every institution or workflow.
10. Limitation of Liability
To the maximum extent permitted by applicable law, the Developer shall not be liable for any direct, indirect, incidental, special, consequential, exemplary, or other damages arising from or relating to the use of, inability to use, or reliance upon My School.
This includes, without limitation, loss or damage involving:
- Student, staff, attendance, fee, or examination records.
- Profits, revenue, goodwill, or business or operational interruption.
- Incorrect attendance, marks, grades, results, or class assignments.
- Incorrect invoices, balances, discounts, taxes, salary, or payroll calculations.
- Missing, incorrect, or incorrectly exported student records.
- Device failure, storage failure, database corruption, or operating-system problems.
- Loss, theft of, or unauthorized access to a device.
- Failed, missing, damaged, or incorrectly restored backups.
- Incorrect or unintended data imports or exports.
- Printer, network, or third-party service failures.
- User error or incorrect data entry.
- Any regulatory, child-protection, or data-protection consequence arising from records entered or omitted.
Nothing in these Terms excludes or limits liability where such exclusion or limitation is prohibited by applicable law.
11. Third-Party Services
The App may interact with Android system services, printers, local networks, file-storage providers, or other third-party services selected by the user. Those third parties are governed by their own terms, privacy policies, and security practices.
The Developer is not responsible for the availability, privacy, security, reliability, or operation of third-party services, devices, or networks.
12. App Changes and Availability
The Developer may modify, add, remove, suspend, or discontinue features of the App at any time. Updates may change how certain functions operate.
13. Termination of Use
Users may stop using the App at any time. Removing the App may also remove locally stored data depending on Android behavior and the user's backup practices.
14. Changes to These Terms
These Terms of Use may be updated from time to time. Continued use of the App after updated terms become effective constitutes acceptance of the updated terms to the extent permitted by applicable law.
15. Governing Law
These Terms are subject to applicable law. Any rights that cannot legally be excluded or limited remain unaffected.
